Configuring a Job Template

Customize your job templates and completely adapt them to your needs:

Translation Memories

By linking Translation Memories to a Job Template, you ensure that previous translations are consistently used across multiple jobs. When you start a new job with the template, the chosen Translation Memories are automatically applied, allowing you to reuse prior work.

‍To add translation memories to a job template, follow the description below:
    Navigate to Settings on the main menu bar to display the options.
    Select the option Job Templates.
    On the Job Template that you want to configurate select "Translation Memories".
    Click on + Add Translation Memory located at the upper left corner.
    In the pop-up menu, configure the following options and save:
  • Click on Select Translation Memory to display your translation memory list and select the one that you want to add to the Job Template.
  • Update TM:
  • Select the minimum match value. This value determines that only matches in the translation memory with the same or higher similarity will be used.
  • If you have multiple translation memories for one job template, select your desired Sort ID; note that filters are applied based on their ID number (the lower number is applied first).
  • Finally, click on "Save".

Termbases

Termbases can be linked directly to a job template to ensure consistent use of approved terminology across all jobs. When a job is created with the template, the selected termbases are automatically applied.

‍To add termbases to a job template, follow the description below:
    Navigate to Settings on the main menu bar to display the options.
    Select the option Job Templates.
    On the Job Template that you want to configurate select Termbases.
    Click on + Add Termbase located at the upper left corner.
    In the pop-up menu, click on Select termbase to choose the termbase that you want to add to the Job Template.
    If you have multiple termbases for one job template, select your desired Sort ID; note that filters are applied based on their ID number (the lower number is applied first).
    Finally, click on "Save".

Machine Translation Engines

Machine Translation Engines can be linked directly to a Job Template, allowing you to define which MT provider(s) should be used for jobs created from that template. This setup ensures consistent use of MT across projects.

‍To add machine translation engines to a job template, follow the description below:
    Navigate to Settings on the main menu bar to display the options.
    Select the option Job Templates.
    On the Job Template that you want to configurate select Machine Translation Engines.
    Click on + Add Machine Translation Engine located at the upper left corner.
    In the pop-up menu, configure the following options and save:
  • Click on Select Machine translation engine to display your machine translation engine list and select the one that you want to add to the Job Template.
  • Choose the minimum MT quality score if it is supported for the engine. This value determines that only matches that are better than or equal to this value will be filled out.
  • If you have multiple machine translation engines for one job template, select your desired Sort ID; note that filters are applied based on their ID number (the lower number is applied first).
  • Finally, click on "Save".

Quality Rule Sets

Quality Rules help you automatically identify issues in your translation that need attention. They can flag problems like:
  • Empty segments
  • Mismatched numbers or text
  • Custom patterns using regular expressions
This ensures your translations meet quality standards before delivery.

‍To add quality rule sets to a job template, follow the description below:
    Navigate to Settings on the main menu bar to display the options.
    Select the option Job Templates.
    On the Job Template that you want to configurate select Quality Rule Sets.
    Click on + Add Quality Rule Set located at the upper left corner.
    In the pop-up menu, click on Select quality rule set to choose the quality rule set that you want to add to the Job Template..
    If you have multiple quality rule sets for one job template, select your desired Sort ID; note that filters are applied based on their ID number (the lower number is applied first).
    Finally, click on "Save".

Replacement Rule Sets

Replacement Rules let you modify text or patterns before or after machine translation. They serve two main purposes:
  • Lock non-translatables: Prevent specific text like placeholders or tags from being translated.
  • Format cleanup: Adjust elements like dates, times, or quotation marks to ensure proper formatting in the translated output.

‍To add Replacement Rule Sets to a job template follow the description bellow:
    Navigate to Settings on the main menu bar to display the options.
    Select the option Job Templates.
    On the Job Template that you want to configurate select Replacement Rule Sets.
    Click on + Add replacement rule set located at the upper left corner.
    In the pop-up menu, click on Select replacement rule set to choose the replacement rule set that you want to add to the Job Template.
    If you have multiple replacement rule sets for one job template, select your desired Sort ID; note that replacement rule sets are applied based on their ID number (the lower number is applied first)
    Finally, click on "Save."

File types

When you attach File Types to a Job Template,  termbase.io  will prioritize those file types over the default ones during job creation. This gives you full control over how files are processed.
For example, you can define how specific Excel or XML files are handled, or choose whether to include hidden text in Word documents. To customize this, create a file type and link it to your Job Template.
 termbase.io  will match files using file metadata or extensions to apply the correct configuration.
