Creating termbases

A termbase in  termbase.io  is a database or repository that contains a collection of terms and their definitions, usually within a specific field.
There are three ways to create termbases with  termbase.io :
    Creating a termbase manually by adding terms directly.
    Using Termfactory to build terminology from existing translations.
    Importing your existing terminology (tbx, csv, xlsx).

1. Creating termbases manually

    Navigate to termbases.
  • Navigate to “Resources” by clicking on it in the top bar.
  • Select “Termbases” from the available options.
    Add a new termbase.
  • Click on “+ Add Termbase”.
  • Enter the name of the termbase and optionally, add a description.
  • Select the teams you want to share this termbase with (optional).
  • Click “Save” to create the termbase.
  • Once your termbase is created, click on its name.
  • Click on “+ Add Language” to define the languages of your termbase.
  • Add the languages of your termbase, and then, click on "Save" to finish the process.
3. Add terms manually
  • Navigate through the menu of your termbase and select the option called "Terms".
  • Then, you can begin adding terms manually by clicking on “Add new term entry”.
  • Select the language information of your termbase.
  • Then, select the option with the pencil icon to start entering your terms.
  • Enter the term, add translations, and provide any additional information such as definitions or context as needed.
  • Click the option with this icon Check Mark after each entry to ensure your terminology is properly recorded.

2. Termfactory: Build termbases from existing translations

Creating a termbase using Termfactory in  termbase.io  allows you to automatically build terminology from your existing translations.
    Add a new termbase.
  • Click on “+ Add Termbase”.
  • Enter the name of the termbase and optionally add a description. Then, Click  on “Save” to create the termbase.
  • Once your termbase is created, click on its name.
  • Click on “+ Add Language”, in the upper left corner.
  • Add the languages of your termbase.
  • Click on “Save” to save the languages of your termbase.
    Access translated documents.
  • Navigate to “Jobs” in the top menu bar and select “Translations” to view your translated documents.
    Send to termfactory
  • Find the translated document you want to build terminology from.
  • Click on “Send to Termfactory”. This button is located under the “Action” column on the right side of the job list.
  • The status of the extraction process will be displayed in the “Status” column. Wait until the process status changes to “Done”.
    Review new terminology
  • Once the status is marked as “Done”, click on the name of your document to access the newly built terminology.
  • The terminology will be displayed, ordered by a confidence score, allowing you to easily identify the most relevant terms.
  • You can create tags and assign them to terms in order to filter and structure your terminology. To do so, click on "Create tag".
    Send newly build terminology to a termbase.
  • Click on “Send terms to termbase”.
If you have not selected the terminology associated with any tag, all the terminology will be sent to the termbase.
  • Select the option "Next" to continue. The terminology that you send to a termbase will desapear from the import.
  • Send only tagged terms
  • Select the existing termbase to which you want to add the terms
    Merge the terms
  • Click “Merge” to finalize the addition of the terms.
  • Click “Show termbase terms” to be redirected to your updated termbase and see the added terminology.

3. Import existing terminology to a termbase

Importing a termbase in  termbase.io  allows you to quickly incorporate existing terminology data into your resources.
    Create a New Termbase: Enter a name for the new termbase, add an optional description, and click “Save”.
    Navigate to termbase resources
  • Navigate to “Resources” by clicking on it in the top bar.
  • Select “Termbases” from the menu options.
    Start the import process
  • Click on “Import Termbase”.
  • Choose “New Import” and select “Existing Termbase”.
  • Enter a name for the import, then select your file for import.
    Finalize import
  • Click “Finish” to start the import and then open the document.
  • The imported terminology will be displayed for review.
    Send terms to termbase
  • ‍Select an existing termbase to add the imported terms.
    Merge and review
  • Click “Merge” to finalize the addition of the terms to the selected termbase.
  • Click “Show Termbase Terms” to view your termbase.
